About the role

  • Sales & Operations Support Officer in Greece for XLNT Company supporting sales and operations departments with administration and coordination.

Responsibilities

  • Support sales and operations departments in daily activities
  • Follow up on pending tasks, orders, and internal/external communications
  • Prepare and send professional emails to suppliers and customers
  • Assist the manager with scheduling, prioritization, and task tracking
  • Update and maintain records in ERP systems and Excel files
  • Prepare reports, summaries, and operational updates when required
  • Coordinate internally between departments and externally with partners
  • Assist in documentation preparation (orders, shipping, invoicing support)
  • Provide general administrative and operational support

Requirements

  • Education: Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Experience: Minimum 2 years of experience in office administration, sales support, or operations support roles.
  • Language Proficiency: Fluent in both Greek and English, with excellent written and verbal communication skills and the ability to draft clear, professional emails in English.
  • Technical Skills: Proficiency in Microsoft Office is mandatory and ERP systems is a plus (experience with SoftOne & ClickUp).
  • Attention to Detail: Consistently accurate with data handling, document management, and sales coordination.
  • Multitasking & Time Management: Ability to prioritize tasks and handle multiple responsibilities in a fast-paced environment.
  • Independent & Team-Oriented: Capable of working independently with minimal supervision, while also collaborating effectively with cross-functional teams.
  • Proactive Attitude: Demonstrated ability to identify issues and act quickly, with a proactive approach to problem-solving.
  • Availability: Willingness to work five days per week with a hybrid model 8-hour shift, from Monday to Thursday in our Vári office and on Fridays or Saturdays, the role transitions to remote work.
