Events Coordinator for RAND planning and delivering events to engage policymakers and stakeholders. Responsible for logistics, budgets, and post-event analysis in a hybrid workplace setting.
Responsibilities
Plan, coordinate, and deliver in-person, hybrid, and online events, including conferences, workshops, seminars, and stakeholder roundtables.
Work closely with research staff and leadership to understand event objectives and design formats that achieve them.
Manage all logistics: venue booking, catering, AV/IT, travel arrangements, delegate registration, accessibility needs, and compliance with health and safety requirements.
Negotiate with suppliers and manage relationships with venues, caterers, AV providers, and other external partners to ensure value for money and high-quality service.
Liaise with external partners and speakers, ensuring excellent communication and smooth delivery.
Support the development of promotional materials in coordination with the Communications team, including event invitations, web pages, and social media content.
Oversee event budgets, monitor costs, and process invoices.
Provide on-the-day support, including event setup, troubleshooting, and stakeholder liaison.
Collect and analyse post-event feedback to support continuous improvement.
Maintain a central events calendar and ensure effective reporting to internal stakeholders.
Requirements
Proven experience in event planning, coordination, or project administration (ideally in an academic, policy, or research-focused environment).
Strong organisational and time-management skills, with the ability to manage multiple events simultaneously.
Excellent written and verbal communication skills, with confidence engaging stakeholders at all levels.
Ability to work flexibly and adapt to changing priorities.
Proficiency in Microsoft Office and virtual event platforms (e.g., Zoom, Teams).
Experience using CRM systems and email marketing platforms to manage invitations, outreach, and delegate communications.
Strong negotiation, problem-solving skills, and attention to detail.
Desirable: experience of organising events outside of the UK and navigating the related logistical complexities.
