About the role

  • Patent Administrator role at Novagraaf handling correspondence and legal tasks in a hybrid work environment. Requires legal training and proficiency in French and English.

Responsibilities

  • Daily management of incoming and outgoing correspondence
  • Drafting and managing correspondence with stakeholders in French and English (clients, correspondents, patent offices, etc.)
  • Preparation of powers of attorney and dispatch to clients
  • Creation of files in our database
  • Management of official deadlines and tasks using our software and clients' platforms
  • Sending reminders to clients and correspondents
  • Managing translation requests and validations
  • Managing case billing and invoicing
  • Preparing validation forms (online) or via the Epoline platform
  • Conducting searches on official online registers
  • Telephone contact in English with patent offices

Requirements

  • Legal training preferred
  • At least 2 years' experience, preferably in a legal setting (law firm, notary office, or intellectual property firm)
  • Proficiency in French and English (spoken and written)
  • German is a plus
  • Comfortable with IT tools; strong Excel skills required
  • Rigour and strong organisational skills
