About the role

  • Documentation Administrator managing Sales Office documentation in Cluj-Napoca for effective customer requirement fulfillment. Acting as SPOC for all documentation-related matters to support multiple departments.

Responsibilities

  • Manage all Sales Office documentation and ensure customer requirements are met accurately and on schedule.
  • Act as the single point of contact (SPOC) for all documentation matters.
  • Oversee the process from initiation through to closure and post-delivery.
  • Ensure all requested documents are properly stored, easily accessible, and released appropriately.
  • Review blueprints, drawings, and engineering files to support manufacturing and other departments.
  • Develop and maintain Emerson documentation standards, including layout and content.
  • Study drawings, specifications, and product samples to prepare user documentation such as how-to guides and instruction manuals.
  • Create Documentation Dossiers per user requirements for MRO and service orders.
  • Collect, organize, and perform quality control on electronic documentation from various sources.
  • Produce and deliver approval and final documentation in required formats ensuring high presentation standards.
  • Update ERP systems with documentation status and maintain alignment with business requirements.
  • Collaborate closely with internal teams to align documentation with customer and factory orders.
  • Act as escalation point for documentation execution issues and support dispute management with Order Management.
  • Archive soft copies, review published materials for improvements, and continuously enhance knowledge of products and documentation tools.

Requirements

  • University degree
  • Strong verbal and written communication skills in English
  • Good level of using Microsoft Office package
  • Strong organizational skills and a continuous drive to expand knowledge and learn new concepts
  • Quality/document control experience (preferred)
  • Administration experience (preferred)
