About the role

  • Patent Operations Coordinator managing patent information and ensuring data integrity within the Patents team at BAT in London. Overseeing workflows, database tasks, and stakeholder communication for operational efficiency.

Responsibilities

  • Coordinate the creation, updating and closure of records in Anaqua, ensuring data accuracy and integrity and perform regular data quality checks and support audit mechanism implementation
  • Support patent information storage and management across systems and shared locations
  • Act as a day‑to‑day coordinator for patent information workflows, monitoring task progress and highlighting delays or issues
  • Assist with work allocation among the paralegal team
  • Draft and coordinate process updates, correspondence, and supporting documentation for the Patents team
  • Prepare reports from Anaqua and other patent databases, including filing statistics, accuracy summaries, and workflow metrics
  • Assist in budget‑related data tracking, cost‑capture updates, and basic financial reporting

Requirements

  • 3+ years in an administrative, IP, legal operations or data heavy role
  • Experience in data-driven environments and working with structured information
  • Experience in multitasking and managing deadlines
  • Strong Excel skills (pivot tables, lookups, basic Power Query)
  • Basic level data analysis and interpretation
  • Strong organisational and accuracy skills
  • Clear written and verbal communication
