About the role

  • Accounting Specialist handling accounts receivable, payable, and payroll at MealSuite. Supporting financial reporting and collaborating with finance team to optimize billing processes.

Responsibilities

  • Perform timely bookkeeping entries for all payable and payroll transactions that reflect the inter-company relationships and support the financial reporting
  • Reconcile the AR ledger, prepare AR aging reports for management review, and lead internal AR meetings to discuss collection efforts
  • Process and review vendor invoices for accuracy to ensure vendors are paid on time and manage payable records within our expense management software
  • Generate and send accurate customer invoices in a timely manner and, if necessary, work closely with other teams to resolve billing discrepancies
  • Process and review both Canadian and U.S payroll to ensure accuracy of each pay period and review employee expense reports and process reimbursements, ensuring they align with our company expense policy
  • Apply customer payments accurately to the correct invoices in the accounting system
  • Manage collections activities, including sending reminders and negotiating payment plans when necessary, as well as identifying short payments and work to resolve them promptly
  • Recommend process improvements to optimize billing, collections, and cash application processes

Requirements

  • 3+ years of direct experience working in accounting, including roles in accounts payable, accounts receivable, and/or payroll
  • Financial education through certifications, courses, or training that demonstrate a basic understanding of accounting principles
  • Having or working towards a PCP designation or equivalent is preferred
  • Experience with Excel with strong data entry skills
  • Experience with Dayforce, TriNet, Ramp, Salesforce, or similar systems preferred
  • Exceptional communication skills and a keen eye for details
  • Comfortable working with multiple entities and the organization skills to back it up
  • Ability to thrive in a collaborative, fast-moving environment
  • Willingness to travel occasionally; valid passport with no travel restrictions (Canada/USA; Vietnam if required)
