About the role

  • Executive Personal Assistant providing administrative support for Chief Officer or Director at TfL. Engage in stakeholder management, correspondence, and event facilitation while upholding TfL’s Vision & Values.

Responsibilities

  • Responsible for providing full and effective administrative and diary support for a Chief Officer or Director within a function
  • Work collaboratively within the executive office structure and across other executive offices to ensure consistency and ongoing continuous improvement
  • Support governance, advisory and non-operational resourcing activity within their Chief Officer area
  • Accountable for providing PA support to a Chief Officer/Director, including daily workflow and diary management
  • Support with further general administrative duties
  • Responsible for collaborating with other Executive Offices for the development of best practice
  • Facilitate internal & external stakeholder relationships to monitor business priorities/deadlines, ensuring role modelling of TfL’s Vision & Values
  • Develop & co-ordinate an effective system for handling work, internally and across directorate areas
  • Accountable for correspondence management (including VIP correspondence)
  • Assess incoming emails and telephone calls and answer queries directed at the Chief Officer’s/Director’s office, ensuring key items are prioritised
  • Facilitate internal events & external visits (including staff conferences, all staff meetings)
  • Organise internal and external meetings, including facilitating all travel and accommodation requirements
  • Support with the co-ordination of purchasing and procurement (including raising POs, liaising with vendors and Finance)

Requirements

  • Extensive experience of providing PA support within a complex & political organisation, requiring high levels of communication with a range of internal/external senior stakeholders
  • Excellent written and verbal communication skills

  • Excellent Microsoft Office Suite skills
  • Excellent knowledge of effective diary management and scheduling
  • Excellent knowledge of procedural office practices
  • Excellent awareness of key contacts internal and external to the respective office/directorate
  • Excellent awareness of SharePoint creation and design
  • Good knowledge of TfL management/administrative systems
