About the role

  • Fleetmanager supporting logistics operations at a family-owned company with 1,500 vehicles and extensive customer service requirements. Responsible for vehicle management and maintenance processes.

Responsibilities

  • Maintain and update the fleet management software (creation and administration of vehicle and driver records)
  • Process driver and vehicle changes according to guidelines
  • Manage and issue fuel cards
  • Assist with vehicle scheduling and allocation
  • Organize and coordinate vehicle handovers, returns and transfers
  • Prepare data and support reporting (KPIs)
  • Support process implementation and process optimization
  • Perform factual invoice checks and forward for approval
  • Maintain and manage contract documents (e.g., leasing contracts, purchase invoices)
  • Assist with procurement and administrative processing
  • Help ensure compliance with legal requirements (e.g., vehicle inspections [HU], accident prevention checks [UVV], driver license checks)
  • Communicate with suppliers and service providers as agreed
  • Handle regulatory fines, insurance documentation and damage reports

Requirements

  • Completed commercial or technical vocational training or degree (e.g., certified business administrator, automotive salesperson, logistics specialist)
  • Professional experience in fleet management
  • Analytical, structured way of working
  • Strong numerical aptitude
  • Confident use of MS Office (especially Excel)
