About the role

  • Personal Assistant supporting the director at Hastings Direct, managing schedules and communications in a hybrid capacity. Handling travel arrangements and event organization for effective leadership support.

Responsibilities

  • Organise and maintain diaries, appointments and meetings, ensuring the Director is well-prepared
  • Arrange travel, visas and accommodation, occasionally travelling with Leadership Team for note-taking or assistance
  • Support event management – booking and organising off-site events, business communications and engagement activity
  • Deal with incoming email, and correspond on behalf of the Director
  • Screen enquiries and requests, handling them appropriately
  • Meet and greet visitors, liaise with customers, suppliers and other colleagues
  • Devising and maintaining office systems, including procurement and expenses
  • Carry-out background research and present findings, produce documents, briefing papers, reports and presentations

Requirements

  • A background working as a Personal or Executive assistant, ideally in a Financial Services organisation
  • Exceptional senior stakeholder skills with proven track record of interacting with senior management and external partners
  • Exceptional written and oral communication skills
  • Excellent Microsoft Office and IT skills, including Outlook, Word, Excel, PowerPoint, OneNote and Teams
  • The ability to multitask & work under pressure and tight deadlines whilst maintaining excellent organisational and time management skills
  • The ability to research, digest, analyse and present material clearly and concisely
  • The ability to work on your own initiative whilst maintaining discretion and an understanding of confidentiality issues
