About the role

  • Executive Assistant supporting partners at BNY, a leading global financial services company. Managing calendars, coordinating travel, and overseeing special projects for executives in a dynamic environment.

Responsibilities

  • As an Executive Assistant you will be expected to have excellent technical and interpersonal skills, and scheduling flexibility to ensure continuity of administrative support for the partners to whom you are assigned.
  • Owning Core Executive Assistant duties of calendar coordination, travel booking, itinerary planning, expense reporting, and ensuring things don’t fall through the cracks.
  • Act as a Project manager for special projects, at the request of the executive, which may include planning and coordinating multiple presentations, disseminating information, and creating brochures.
  • Organize executive meetings, events, and conferences, managing logistics, materials and follow-up communications.
  • Assemble and analyze information involving business plans, and financial reports, resulting in the final plan submission.
  • Effectively manages the flow of information to/from the assigned EC member or senior executive and is authorized to speak on behalf of him/her in certain limited circumstances.
  • Create/design general correspondences, memos, charts, tables, graphs, business plans, etc.
  • Responsible for handling sensitive and confidential information.

Requirements

  • Bachelor's degree or equivalent work experience required
  • 5 plus years overall experience strongly preferred
  • 5 plus years’ experience as an Executive/Administrative Assistant, with proven experience working with Senior Executives is strongly preferred.
  • Advanced knowledge or Microsoft Office Suite, with experience with high level excel skills.
  • Proactive, detail-oriented, and able to manage multiple priorities with precision.
  • Professional demeanor with excellent verbal and written communication skills.
  • Strong written and verbal communication skills and the ability to multi-task.
  • Demonstrated experience employing discretion with sensitive and confidential information.
  • Anticipate and resolve scheduling conflicts effectively and proactively.
  • Understanding of how to prioritize and respond accordingly.
  • Team player who operates in a fast-paced team-oriented setting.
