About the role

  • Onboarding Coordinator role to manage new employee integration at Essen Health Care. Overseeing onboarding tasks and ensuring compliance in a hybrid work environment.

Responsibilities

  • Coordinate and track onboarding tasks for new hires, including document collection, background checks, and system setup.
  • Send welcome emails, instructions, and orientation materials in advance of start dates.
  • Liaise with Recruiting, Credentialing, and IT to ensure timely profile creation (e.g., HRIS, LMS, timekeeping tools).
  • Conduct Day 1 onboarding sessions (virtual or in-person) and facilitate I-9 verifications.
  • Ensure compliance with onboarding policies, including federal/state verification requirements and internal checklists.
  • Update onboarding trackers and maintain accurate employee records in systems like iCIMS or other ATS/HRIS platforms.
  • Support quarterly audits, visa verification reviews, and reporting needs.
  • Deliver excellent service and communication to new hires and internal teams.

Requirements

  • 2+ years of HR, onboarding, or talent operations experience (healthcare experience preferred)
  • Strong organizational and communication skills
  • Familiarity with onboarding systems (e.g., iCIMS, ADP, Paycom, NetSuite)
  • Ability to manage multiple deadlines while maintaining attention to detail
  • Proficiency in Microsoft Office and virtual platforms (Zoom, Teams)
  • Able to work independently in a hybrid environment with minimal supervision
