About the role

  • Administrative Assistant providing essential support to Construction, Design, and Development teams at Continental Properties. Focused on enhancing efficiency and collaboration within a hybrid working environment.

Responsibilities

  • Provide comprehensive administrative support to the Construction, Design, and Development teams
  • Coordinate calendars, travel arrangements, and expense reports for executives
  • Collect, review, and distribute department mail
  • Process invoices, check requests, and expense reporting
  • Maintain records related to payments, permits, and departmental expenses
  • Schedule and coordinate Investment Committee and department meetings
  • Prepare meeting materials, set up conference rooms, and track notes and action items
  • Answer and direct phone calls to the home office
  • Manage office supplies inventory and coordinate replenishment
  • Support department events, meetings, and milestone celebrations
  • Maintain and organize department files and SharePoint records

Requirements

  • Associate degree or equivalent experience in a related field
  • 2 or more years of related experience
  • Comfortable working in a fast-paced, deadline-driven environment with high attention to detail
  • Strong follow-through ability
  • Proactive problem-solver with a continuous improvement mindset
  • Ability to work collaboratively across teams and support senior leaders
