About the role

  • Administrative Analyst at Aviva maintaining relationships with property owners and managing budget reports for hotel operations. Collaborating with hotel supervisors for financial controls and data accuracy.

Responsibilities

  • Interact with condominium and SCP owners and/or investors via phone, app, meetings, or other communication channels.
  • Record entries in the management system for condominium fee amounts, SCP revenues, and other information necessary to keep owners' records up to date.
  • Support the preparation of annual budgets together with the manager of the managed hotels, laundry services, condominiums and SCP.
  • Monitor budgets monthly together with the supervision of the managed hotels, ensuring all entries are correct.
  • Correct invoice entries posted to the wrong accounts or with incorrect amounts.
  • Prepare materials for condominium and SCP financial reporting meetings.
  • Analyze all regulations related to the handling of fees and taxes, reviewing and verifying reports against budgets and payments to prevent fines from municipal, state, and federal audits.
  • Track SCIs from request through receipt of purchased items.
  • Review active lease agreements for the managed hotels, monitoring renewals with Legal to ensure process efficiency.
  • Respond to internal and external audit requests, providing documents within required deadlines, always aiming for transparency and accuracy of information.
  • Initiate and manage customer reimbursement requests, ensuring the process is completed to avoid customer dissatisfaction and to protect Aviva.

Requirements

  • Currently pursuing a Bachelor's degree in Business Administration, Accounting, or related fields.
  • Intermediate MS Office skills
  • Knowledge of Tax and Labor Legislation (preferred)
