About the role

  • Executive Personal Assistant managing schedules and logistics for Co-CEO at Aleph Alpha. Supporting a fast-paced environment in AI innovation for governmental institutions and large enterprises.

Responsibilities

  • Strategic and proactive calendar management to anticipate conflicts, prioritize commitments, and ensure the Co-CEO is always prepared and on schedule
  • Coordinate domestic and international travel (commercial and private), including itineraries, visas, accommodation, and ground transportation
  • Prepare meeting materials, presentations, and pre-reads; attend key meetings, document action items, and track progress across multiple workstreams
  • Manage communications (email, calls, texts), draft responses, prioritize urgent matters, and ensure timely and professional correspondence
  • Manage, reconcile, and submit detailed expense reports
  • Handle personal logistics (appointments, reservations, gift sourcing, event planning) with discretion and flair
  • Take ownership of tasks and projects from inception to completion with a high degree of independence, proactively implementing solutions
  • Work seamlessly with the Co-CEO’s existing support team to ensure coordinated coverage, information sharing, and a unified approach to executive support

Requirements

  • Advanced proficiency in German and English
  • Proven experience as a Personal/Executive Assistant supporting founders, C-suite executives, and/or high-net-worth individuals in a demanding, fast-paced environment
  • Proven self-starter mentality: track record of independently driving tasks, anticipating needs, and delivering results with minimal supervision; proactively identify potential challenges and resolve issues ahead of time
  • Exceptional organizational skills: meticulous attention to detail; capable of managing multiple complex projects simultaneously while solving problems creatively and independently
  • Strong communication skills: confident in verbal and written communication, with the ability to interface professionally with senior internal and external stakeholders
  • Adaptability: excels in fast-paced environments where priorities shift rapidly, maintaining composure and focus under pressure
  • Exceptional discretion and confidentiality: utmost integrity and the ability to handle sensitive professional and personal information with absolute discretion are non-negotiable
  • Tech proficiency: high proficiency with the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Team-oriented: a supportive and collaborative partner to the broader executive support team
