About the role

  • Manage same-day scheduling changes and cancellations while maintaining professional communication with staff and families.
  • Build and maintain efficient, ongoing schedules for learners and staff, maximizing authorized service hours.
  • Coordinate day-of fill-ins/re-routes, and future make up sessions in collaboration with clinical staff, families, and other departments.
  • Create schedule proposals and pre-matches between learners and technicians.
  • Monitor and support rescheduled sessions to reduce cancellation impact.
  • Actively contribute as a key member of the local leadership team, working alongside Center Operations Supervisors, BCBAs, Trainers, Recruiters, and others.
  • Serve as the main point of contact through your region’s group scheduling inbox—responding promptly and professionally.
  • Coordinate regularly with recruiting to identify staffing needs based on scheduling gaps or learner launches.
  • Supervise behavior technicians throughout their time at Sunrise, including onboarding, development, and progression through the BT level system.
  • Track technician progress and coordinate with clinical teams to ensure timely supervision and training.
  • Maintain and manage staff CR profiles and labeling.
  • Approve and manage staff time-off requests and availability changes.
  • Monitor attendance, vacations, and implement coverage solutions where needed.
  • Support HR and leadership with ongoing leadership and policy implementation.
  • Monitor key operational metrics including attendance, session conversions, cancellation rates, and billable hour targets.
  • Oversee daily unconverted appointments and ensure timely conversions in CentralReach.
  • Maintain and regularly update Authorization Workbooks, regional Google Maps, and relevant tracking tools.
  • Ensure accurate documentation of scheduling changes in CR activity logs.
  • Participate in the design and execution of systems and processes aimed at improving overall operational efficiency and KPI performance.
  • Step in to cover scheduling needs during absences or gaps in your region(s).
  • Coordinate initial schedules for new learners in alignment with block scheduling practices.
  • Collaborate with recruiting to ensure timely staffing for new cases.
  • Support the Area Operations Manager in the launch, design, and operational planning of new center locations.
  • Assist with budgeting, coordination, and setup of new centers in collaboration with the clinical department.

Requirements

  • Strong organizational and communication skills
  • Atleast 2 years' experience in ABA therapy.
  • Familiarity with CentralReach or similar EMR systems is a plus
  • Leadership or supervisory experience strongly preferred
  • Ability to problem-solve and multitask in a fast-paced environment
