About the role

  • Manage, schedule, and coordinate interviews for all Weedmaps candidates, ensuring alignment with business priorities.
  • Collect candidate availability, send interview confirmations, and handle any scheduling changes or logistics adjustments.
  • Communicate interview details to candidates and internal teams; ensure interview rooms and video conferencing setups are prepared and functional.
  • Provide an exceptional candidate experience, including greeting onsite visitors and conducting informative office tours.
  • Maintain accurate candidate data and job postings in Greenhouse (ATS), ensuring candidates are moved through stages appropriately.
  • Partner with Recruiters, Hiring Managers, and cross-functional teams to support a smooth and efficient hiring process.
  • Attend meetings with Senior Recruiters and Managers to ensure consistent communication and feedback loops.
  • Maintain interviewer training materials and documentation to support interviewer readiness and process consistency.
  • Identify and implement process improvements to enhance scheduling efficiency and the overall candidate experience.
  • Analyze feedback and deliver actionable insights to continually refine and improve the interview process.

Requirements

  • 1+ years of experience in a Recruiting Coordinator, Talent Acquisition, or HR support role.
  • Bachelor’s degree or equivalent combination of education and experience.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy in scheduling and data management.
  • Demonstrated ability to handle confidential information with professionalism and discretion.
  • Proficiency with Google Workspace (Docs, Sheets, Calendar) or Microsoft Office Suite.
  • A proactive and collaborative mindset with strong interpersonal skills.
