About the role

  • Provide essential administrative and operational support to the Program Committee.
  • Focus on executing defined tasks that help ensure the smooth flow of information, accurate program data, and timely follow-up on Committee action items.
  • Prepare agendas, take comprehensive meeting notes, track follow-up actions, and ensure timely distribution.
  • Coordinate with internal teams (e.g., Experience, Sales, Marketing) to address program-related requests.
  • Enter, update, and verify program information in Airtable and other platforms.
  • Perform daily downloads of program data for version control and maintain organized archives.
  • Identify and resolve duplicate or inconsistent data entries, ensuring data integrity.
  • Provide guidance on data entry standards and best practices.
  • Maintain accurate and timely updates across systems used by multiple teams.
  • Create simple dashboards, reports, and summaries based on program data to support decision-making.
  • Edit and format documents for clarity, accuracy, and professional presentation.
  • Conduct targeted research on a variety of topics within the energy sector, including emerging technologies, policy changes, market trends, and key industry challenges.

Requirements

  • Bachelor’s degree or equivalent work experience preferred, ideally in International Relations, Political Science, Economics, or a related field.
  • 2+ years of experience in events, program operations, or project coordination, preferably in a conference or large-scale event environment.
  • Proficiency with Microsoft Office Suite, and familiarity with Airtable (or other database tools) and Monday.com.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills, with the ability to interpret and clarify technical or program-related information.
  • Experience in or exposure to the energy sector is preferred, but not required.
