About the role

  • Respond to incoming customer enquiries via email and phone, providing accurate and timely information.
  • Prepare budgetary quotes for simple projects by collecting technical data, delivery timelines, and other relevant details.
  • Manage warranty claims, credit notes, and customer notifications.
  • Communicate with suppliers to obtain quotations, create purchase orders in Ariba, and follow up on order progress.
  • Track MSP budgets, yearly rebates, and inform customers about new product launches.
  • Issue customer certifications such as REACH declarations, Mill Test Certificates, Distributor Certificates, and Certificates of Conformity.
  • Support account creation and maintenance in Oracle, review tender data, and handle approvals in Salesforce.
  • Collaborate with the Accounts Receivable team to follow up on outstanding invoices and manage credit or debit note requests.
  • Assist customers with Fleetguard Portal access, resolve issues, and update distributor visibility.
  • Coordinate with technical teams to request documents such as MSDS and datasheets for customers.
  • Ensure all activities are properly logged in Salesforce and participate in regular review meetings.
  • Inform customers about the Excess & Obsolete (E&O) policy and follow up on related requests.

Requirements

  • Proven experience in sales coordination, customer service, or a similar administrative role.
  • Excellent communication skills, both written and verbal.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Experience using Salesforce, Oracle, and Ariba (or similar systems) is a strong advantage.
  • Proficiency in Microsoft Office tools (Excel, Outlook, Word).
  • Fluency in English; additional European languages are a plus.
  • A proactive and customer-focused approach with the ability to work both independently and as part of a team.
