Manage and prioritize the ED’s calendar, ensuring alignment with strategic priorities.
Coordinate complex scheduling, travel arrangements, and logistics for meetings, conferences, and events.
Prepare briefing materials, agendas, and supporting documentation for internal and external meetings.
Track deadlines, action items, and follow-ups, ensuring the ED is well-prepared and responsive.
Act as the primary point of contact between the ED and internal/external stakeholders.
Draft, review, and manage correspondence with high attention to detail and professionalism.
Handle confidential information with absolute discretion and maintain the highest ethical standards.
Coordinate with the Legal Leadership Team and other C-suite offices to facilitate effective communication and alignment.
Support strategic initiatives led by the ED, including project tracking and reporting.
Assist in the preparation of presentations, reports, and board-level documents.
Manage special projects as assigned, ensuring timely delivery and quality outcomes.
Maintain and improve systems for efficiency within the function (e.g., document management, workflow processes).
Assist with preparation and coordination of board meetings, committee meetings, and governance matters.
Maintain accurate records of documents when required.
Partner with legal team members to ensure timely execution of compliance and governance tasks.
Requirements
Bachelor’s degree preferred (Business Administration, Law, or related field).
3-5 years of experience as an Executive Assistant, ideally supporting C-suite executives, General Counsel, or senior leaders.
Proven track record in managing complex schedules, travel, and senior-level communications.
Familiarity with legal, governance, or corporate compliance environments is a strong advantage.
Demonstrated ability to work under pressure, handle sensitive matters with confidentiality, and maintain excellent attention to detail.
Proactive attitude and ownership over the working tasks.
Exceptional organizational and time management skills.
Strong written and verbal communication skills, politeness, with the ability to draft and edit documents at executive level.
