Responsibilities
Management of the firm’s registered office mail forwarding facility, including:
Scanning and emailing correspondence to clients, and sending hard copies when requested.
Dealing with clients requests
Organise post by client
Regularly sending out correspondence to clients who request it
Reviewing what is on site, communicating with clients regarding documents before shredding.
Registered office-only billing
Seals organisation and management with annual or bi-annual checks
Updating GSL lists
Client onboarding and matter closures, in line with internal procedures
Updates to departmental internal page/ Sharepoint
Archiving
Providing efficient administrative support to the team, including:
Updating statutory registers and supporting the team in ensuring the company secretarial database (Diligent) is up to date.
Updating Registers of Beneficial Ownership.
Reviewing and managing WIP/debtors.
Arranging notarisation and apostilling of documents.
Monitoring the Companies Registration Office (CRO) CORE account, ensuring rejections are communicated to the team and assisting with rectifications.
General administrative support
Fast and accurate data input.
Diary management using Microsoft Outlook.
Updating the document management system and maintaining accurate soft and hard copy filing.
Assisting the team with ad-hoc administrative and project requirements.
Requirements
Bachelor’s degree or equivalent experience
Strong written and verbal communication
Excellent organisational and time-management skills
Attention to detail and accuracy
Ability to multitask and prioritise
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Familiarity with office equipment (printers, scanners, etc.)
