About the role

  • Oversee end-to-end bid management from RFP/RFI receipt through final submission, ensuring timelines, compliance, and quality standards.
  • Collaborate with US Global Client Sales, Program Directors, US business development, and subject matter experts to develop proposal strategies.
  • Translate strategy into clear, compelling proposal responses and customize content to client requirements.
  • Utilize AI tools for RFP data analysis, content production, prompt drafting, and workflow optimization; ensure quality of AI-generated content.
  • Act as central point of contact for bid submissions, coordinating with countries and stakeholders to gather necessary information.
  • Create and manage bid timelines, set milestones, deadlines, and review points; drive accountability across teams.
  • Update and refine proposal templates and content libraries; write and customize proposal content reflecting offerings and technical capabilities.
  • Identify and assess bid risks; work with legal and compliance teams to mitigate risks and ensure compliance.
  • Lead proposal reviews and quality assurance checks; manage final approval before submission.
  • Conduct post-submission analysis, gather feedback, track win/loss outcomes, and integrate learnings into future proposals.

Requirements

  • Bachelor’s degree in Business, Marketing, Communications, Project Management, or a related field.
  • 7+ years of experience in bid management, proposal management, or a similar role within a corporate, consulting, or professional services environment.
  • Strong understanding of the RFP/RFI process and best practices in proposal development for large, multi-national clients based in the US.
  • Experience managing complex, multi-stakeholder proposals, preferably within a global company or for high-value bids.
  • Good understanding of US market trends and procurement processes.
  • Proficiency in proposal management software (e.g., AutogenAI, QorusDocs, Loopio, Qvidian) and document management tools (e.g., SharePoint, MS Office Suite).
  • Strong project management skills and experience using tools to manage timelines and track deliverables.
  • Excellent written and verbal communication skills in English; ability to review and edit for consistency, grammar, and compliance.
  • Organized and deadline-driven with ability to manage multiple proposals simultaneously.
  • Strong collaboration and interpersonal skills to work with cross-functional teams and senior stakeholders.
  • Strategic mindset with ability to assess client needs and develop tailored proposal responses.
  • Ability to work flexibly in shifted hours (expect working mostly between 11:00AM - 7:00/8:00 PM IST on some days) and be in-office Tuesday and Wednesday in Gurugram.
  • Preferred: Certification in Proposal Management (e.g., APMP or Shipley).
  • Preferred: Experience within the technology sector, professional services, or other complex B2B industries.
  • Preferred: Familiarity with data analytics or reporting tools (e.g., Power BI).
