About the role

  • COO Office Coordinator in Swiss Re's Chief Operating Office drives strategic initiatives and fosters collaboration while ensuring governance and operational excellence.

Responsibilities

  • Coordinate COO meetings and governance forums, including agendas, materials, logistics, and follow-ups
  • Support performance check-ins, planning timelines, and reporting cycles
  • Own action tracking and ensure timely, high-quality follow-through across stakeholders
  • Act as a central coordination point for the COO Office, ensuring smooth daily operations
  • Manage planning and prioritisation across the COO Office calendar and key deliverables
  • Support preparation of presentations, briefing materials, and management communications
  • Coordinate across functions and senior stakeholders to ensure alignment and execution
  • Organise and support community, engagement, and communication activities
  • Identify and implement opportunities to streamline processes and improve ways of working
  • Take ownership of recurring processes and coordination tasks to reduce operational burden
  • Ensure consistency, reliability, and high execution standards across all COO Office activities

Requirements

  • Bachelor’s or Master’s degree in Business Administration, Economics, or a related field
  • 2+ years of experience in management consulting, programme management, strategy, or portfolio management
  • Strong organisational and coordination skills, with a high degree of ownership and accountability
  • Proven ability to manage multiple priorities and engage confidently with diverse, senior stakeholders
  • High attention to detail and reliability in execution, even in fast-moving environments
  • Analytical, data-driven mindset, with the ability to structure problems, interpret data, and translate insights into clear recommendations
  • Hands-on experience with analytical and performance management tools, including Excel, PowerPoint, and PPM tools
  • Strong interest in and practical use of AI tools (e.g. Copilot, ChatGPT) to enhance productivity, improve insights, and streamline ways of working
  • Clear, professional, and persuasive written and verbal communication (fluency in English, both written and spoken)
