Responsibilities
Manage pre-sales administrative tasks: register the company with clients, generate and review confidentiality (NDA) agreements, send quotes and ensure their proper acceptance, and collect and process purchase orders received from clients
Invoice our clients: send invoices, follow up on outstanding payments, and reconcile receipts
Assist the accounting firm: collect and match accounting documents and enter payroll variables into the payroll software
Coordinate communications with service providers and ensure proper execution of their services
Provide administrative support for recruitment and onboarding: post job ads, schedule interviews, complete onboarding formalities, and prepare workstations and welcome packs
Handle logistical aspects of the business as needed (reception of clients or candidates, booking occasional travel for staff, purchasing office supplies)
Requirements
Diploma equivalent to Bac+2 (two years of higher education)
Ideally some prior experience in a similar role
Strong organizational skills
High adaptability and flexibility
Meticulous, proactive, with a good sense of autonomy
Excellent interpersonal skills
Excellent written and verbal communication
Good command of English
Strong proficiency with office tools (Microsoft Office suite, especially Excel)
