About the role

  • Operations Admin performing various administrative tasks that support the firm's daily operations. Involves data management and coordination with third-party vendors.

Responsibilities

  • Routine inventory maintenance.
  • Facilitate data transfers to and from the firm’s clients via various channels including FTPs, third-party vendors, etc.
  • Load new accounts into the firm’s case management system (CMS).
  • Pull basic reports from the firm’s CMS and distribute them to stakeholders.
  • Data entry.
  • Specialized efforts: Skip tracing.
  • Coordinate and manage the firm’s relationships with third-party vendors.
  • Maintain a library of process guides, standard operating procedures (SOPs), and other documentation; Draft firm documentation and expand this library as necessary.

Requirements

  • Bachelor’s Degree or higher preferred.
  • Experience in a legal office may compensate for education.
  • Candidates who succeed in this position typically are results-oriented.
  • Pay close attention to detail.
  • Display comfort and sensibility when working in a high-volume, fast-paced environment.
  • Beat deadlines.
  • Exhibit time-management skills/ability to work on multiple projects simultaneously.
  • Take pride in the ability to work independently and problem solve.
  • Demonstrate excellent verbal and written communication skills, including phone and email etiquette.
  • Possess foundational computer knowledge and skills including familiarity with programs within the Microsoft Office Suite, especially Microsoft Excel.
