About the role

  • Assistant supporting Country CEO and Swedish office operations at Nexi. Handling administrative tasks and internal communication in a dynamic, collaborative environment.

Responsibilities

  • Executive & Administrative Support: Taking ownership of meetings by gathering and preparing documents, taking notes, and following up on action items.
  • Manage and maintain the Country CEO’s calendar, coordinate meetings, and arrange travel logistics.
  • Track, document, and process expense reports and costs, ensuring accuracy and timely managed.
  • Handle day-to-day administrative tasks, including filing, correspondence management, accesses and data entry.
  • Prepare and compile reports, presentations, and other key documents.
  • Internal Communication & Collaboration: Work closely with the internal communications team to draft, review, and distribute clear, professional internal messages.
  • Maintain and update the country intranet with news, announcements, and relevant content.
  • Partner with various departments to support cross-functional projects and ensure milestones are met.
  • Office & Culture Engagement: Liaise with the facilities team to uphold office standards, ensuring a healthy and productive work environment.
  • Plan and execute office events that foster engagement and create meaningful employee experiences.
  • Lead the Engagement Committee, driving initiatives that strengthen workplace satisfaction and morale.
  • Project Coordination & Research: Support special projects by conducting research, organizing information, and developing detailed reports.
  • Anticipate challenges, identify solutions, and take initiative to keep projects on track.

Requirements

  • Exceptional written and verbal communication skills—capable of crafting clear, polished messages on behalf of leadership.
  • Confidence interacting with stakeholders at all levels, serving as a professional and trustworthy point of contact.
  • Proactive and positive mindset, taking ownership with the ability to anticipate needs, being confident in flagging issues early, and propose effective solutions.
  • Strong critical-thinking and decision-making abilities, able to act independently while supporting strategic objectives.
  • High standards of professionalism and confidentiality, especially when handling sensitive information.
  • Sound judgment and discretion, ensuring confidential materials are managed responsibly and securely.
  • We expect that you bring good experience with the tools you´ll being using frequently with us like PowerPoint, Excel & MS Office etc.
