Responsibilities
Management & Board Support / Executive support
Structuring, planning and prioritizing the CEO's and executive management's daily work
Calendar management including coordination of calls, events and meetings
Preparing and following up on meetings, including agendas, presentations, minutes and follow-ups
Supporting confidential matters and strategic decision-making processes
Setting up and maintaining management routines (weekly/monthly reviews, OKRs, KPI tracking)
Monitoring ongoing processes, deadlines and key commitments (including partner/league obligations)
Preparing decision papers, reports, analyses and executive briefings
Ensuring smooth information flow between executive management and the organization
Professional internal and external correspondence
Liaising with teams such as Content, eSports, Sales, Partner Management and Talent Management
Communicating with sponsors, agencies, leagues, partners, service providers and potential investors
Preparing, coordinating and tracking important stakeholder meetings
Contributing to (and, depending on experience, owning) projects such as team launches, marketing campaigns, sponsorships, events or product developments
Researching, analyzing and synthesizing relevant information from the eSports and gaming industry
Supporting contract and document management (coordination, version control, follow-ups)
Structuring digital filing systems and tools (e.g. Notion/Drive/Asana)
Creating presentations and materials for internal and external meetings
Supporting the organization of events or tournament participation
Handling ad-hoc tasks to allow executive management to focus on strategic issues
Requirements
Several years of experience as an Executive Assistant, assistant to executive management, Junior Chief of Staff, Business Operations, Project/Program Management or similar
Strong skills in organization, prioritization and communication — clear, decisive and solution-oriented
Proactive mindset: you identify bottlenecks before they arise and follow up thoroughly
High discretion and professionalism when handling confidential information
Confident with tools (Google Workspace/Microsoft 365, calendars, Slack, Notion/Asana/Trello or similar)
