About the role

  • Executive Assistant provides high-level administrative support to the CEO in a hybrid working environment across Chicago and Detroit. Focuses on executive workflow management and stakeholder liaison responsibilities.

Responsibilities

  • Provide high-level, solution-oriented, confidential thought partner, administrative, and executive support to the CEO, anticipating needs, identifying priorities, and proactively managing workflows.
  • Owns and optimizes executive workflow through highly effective management and maintenance of the CEO’s complex calendar of appointments, schedules, travel, and meeting arrangements.
  • Works closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities.
  • Serves as a leader among administrative staff, modeling collaboration, accountability, and IFF’s values.
  • Liaise with the Senior Leadership team on behalf of the CEO and collaborate with cross-functional teams to ensure timely execution of deliverables and alignment with organizational standards.
  • Assists the CEO with the management of the Board and Board Committee, Community Advisory Committee, and cross-functional meetings.
  • Ensure timely and accurate communication between the CEO and stakeholders, maintaining confidentiality and professionalism.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO.

Requirements

  • Bachelor’s Degree, Certified Administrative Professional (CAP), or equivalent work experience in a similar position.
  • Seven to 10 years of experience supporting C-level Executives, preferably in a non-profit organization.
  • Proven experience in governance and board relations, initiative co-leadership and ownership, and leadership and team collaboration.
  • Proven experience and interest in internal and external communications, relationship cultivation and nurturing, and partnership development.
  • Proven adaptability and judgement with a high level of emotional intelligence, discretion, and sound judgement in high-pressure situations and environments.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and Social Media Web Platforms.
  • Some local travel and potential travel within the IFF footprint may be required particularly as the CEO travels frequently and domiciles in Detroit and Chicago.
