About the role

  • Administrative Assistant at Grupo Nortis managing facilities routines and vendor contracts. Ensuring effective support for internal operations and maintaining a well-organized environment.

Responsibilities

  • Support the management of facilities administrative routines, ensuring the proper operation of the company’s facilities;
  • Control and monitor service provider contracts (cleaning, security, maintenance, reception, and others);
  • Request and follow up on building maintenance services (corrective and preventive), ensuring quality and deadlines are met;
  • Manage consumption control and replenishment of materials (office supplies, cleaning supplies, and pantry items);
  • Support supplier management, including obtaining quotes, basic negotiations, and tracking deliveries;
  • Monitor internal infrastructure service requests/tickets, ensuring appropriate support for employees;
  • Assist in organizing layouts, internal relocations, and provide logistical support for corporate events;
  • Manage invoices, accounting entries, and assist in monitoring the department budget;
  • Support compliance with safety, organization, and preservation standards for the premises;
  • Support continuous improvement of processes and the quality of facilities services.

Requirements

  • High school diploma (college studies in Administration, Engineering, Logistics, or related fields preferred);
  • Previous experience in administrative routines or facilities management;
  • Experience in supplier control and oversight of outsourced services;
  • Excel skills (basic to intermediate level);
  • Organized, proactive, and good internal customer service skills;
  • Experience with contract management and invoice control;
  • Basic knowledge of building maintenance and infrastructure;
  • Experience with ticketing systems or facilities management systems;
  • Knowledge of budget control;
  • Understanding of occupational safety and premises conservation standards;
  • Good communication skills and ability to negotiate with suppliers.
