About the role

  • Jr Administrative Analyst coordinating procurement processes and internal service requests at Evoltz, a Brazilian energy transmission company.

Responsibilities

  • Control the flow of incoming invoices/bills, create Purchase Requisitions, and submit processes for payment related to the area of responsibility;
  • Support monitoring of planned vs. actual budget for the area by updating realized and accrued entries according to internal guidelines;
  • Act as a focal point between internal company areas and service providers for Evoltz, addressing requests related to contracted services in accordance with contractual guidelines;
  • Support processes and updates on travel platforms (Uber, 99Táxi), and travel and accommodation management by updating employee profiles, approval workflows, issuing and requesting reports of unused tickets, managing and requesting reimbursements when necessary, reviewing travel/hotel rates and opportunities for negotiated discounts;
  • Assist and guide employees with requests for Uber, 99Táxi, travel and accommodation when needed, following internal policies;
  • Analyze travel and accommodation service KPIs to identify savings opportunities, process improvements, policy deviations, agency performance, and usage metrics (top users, routes, average fare, main hotels, average nightly rate);
  • Inspect meeting rooms to ensure orderliness and cleanliness so they are in perfect condition for use;
  • Assist in organizing office layout, supporting allocation and optimization of workspace and furniture relocation with service providers, including setup of offices and workstations;
  • Act as focal point with the building/condominium administration for maintenance scheduling, access authorization and requests for temporary access badges, badge cancellations and other related requests as needed;
  • Serve as focal point for administrative requests such as mail, courier/messenger (motoboy), and notary services;
  • Manage and respond to requests regarding furniture, use of lockers and filing cabinets, and locksmith services;
  • Handle maintenance and building upkeep requests and other services related to office incidents such as faulty lighting, leaks, restocking supplies, etc.;
  • Control inventory and restocking, obtain quotes and open purchase requisitions for pantry food items, general office supplies, and hygiene and cleaning consumables when necessary;
  • Act as focal point for service providers performing preventive and corrective maintenance in the office, including electrical, plumbing, air conditioning and other equipment when required;
  • Manage, schedule or open service tickets and keep deadlines updated for periodic services such as filter replacement, pest control, air-conditioning maintenance, building maintenance, and others;
  • Monitor and follow up on contract documentation for the area with the document management provider;
  • Support control of demobilization activities, construction works and small office renovations when required;
  • Maintain updated and organized documentation for the company's vehicle fleet, including responsibility agreements, vehicle registration/licensing, vehicle documents, mileage logs, maintenance records, accident/claim/damage records, notifications of infractions/fines, and driver licenses;
  • Support control of preventive and corrective maintenance of company vehicles with the rental company, aligned with the maintenance plan and vehicle operating conditions;
  • Support vehicle reservations or replacements when necessary, manage receipt and handling of traffic infraction notices and fuel card activity to keep vehicle and driver records up to date and maintain available balances;
  • Support claims management by compiling documentation and interacting with brokers/insurers.

Requirements

  • Bachelor's degree completed
  • Degree in Business Administration, Production Engineering or related fields
  • Intermediate Microsoft Office skills, especially Excel
