About the role

  • Manage complex calendaring, prioritization and trade offs for the CEO (and Co-Founders as needed), across time zones and business functions.
  • In collaboration with the Director of Business Management prepare and maintain comprehensive “brief books” (agendas, pre reads, decision asks, logistics) for key leadership forums.
  • Design, produce and deliver the Weekly Brief for the CEO upcoming schedule, decisions due, topics to monitor.
  • Coordinate executive travel, onsite logistics, expense administration and ad-hoc leadership requests.
  • Facilitate high impact leadership meetings end-to-end: scheduling, invites, rooms/Zoom links, material distribution, recordings.
  • Capture action items with owners and deadlines: partner with the Director of Business Management to issue Action Memos , monitor progress and ensure closure.
  • Maintain and sanitize key invite/contact lists (Board, partners, major clients, executive sponsors) ensuring stakeholder alignment and access integrity.
  • Draft and publish the monthly “ We Said / We Did ” summary and a one page scorecard highlight, leveraging data and content gathered by the business management team; final sign off by the CEO.
  • Translate data-enabled materials (dashboards, metrics etc) into concise, executive ready narratives.
  • Continuously identify opportunities to improve efficiency through automation, AI assisted drafting (ChatGPT, Copilot), digital workflows and tools.
  • Serve as the coordination point between the CEO, Board members, direct reports (CFO, COO, CLO, CPTO, CPO, MD-M&A Partnerships) and Business Management Project Management teams (under COO/CPTO) to ensure smooth, aligned communication and execution of strategic initiatives.
  • Track key priorities, goals and performance metrics, escalate issues and risks as appropriate.
  • Use tools such as Salesforce, Tableau, Microsoft Teams, SharePoint, Monday.com, ChatGPT and Copilot to streamline workflows and ensure visibility, accountability and transparency.
  • Design and execute "field days" and site visits for the CEO (and Co-Founders/Leadership Team as needed) in concert with Divisional leadership: define objectives, manage attendees, agenda, logistics and capture follow up actions into the business management engine.
  • Ensure the outcomes of visits are captured, translated into actionable items and tracked to completion.
  • Handle confidential materials (Board packets, private equity sponsor briefings, M&A documentation, executive strategy documents) with the highest discretion.
  • Maintain secure, version controlled document repositories, ensuring folders are current and access is appropriate.
  • Demonstrate curiosity and facility with generative AI tools, productivity automations and emerging workflows-- applying them to executive materials, meeting summarization and process automation.

Requirements

  • 7+ years supporting C suite executives in fast moving, high complexity, multi stakeholder environments.
  • Track record of mastering complex calendaring, executive travel logistics, meeting production and board level material preparation.
  • Exceptional written and verbal communication skills--able to convert dashboards, analytics and operational reporting into executive narratives.
  • Comfortable working with data enabled materials (KPIs, dashboards) and using or learning productivity tools and AI-enabled workflows.
  • Preferred: Experience in financial services, consulting, wealth/advisory firms or a rapidly scaling operational environment.
