Our Administration & Facility team provides the organizational foundation for a pleasant working environment: serving as a point of contact for questions and focusing on service and a functional infrastructure.
The position is to be filled full-time or with at least 30 hours per week.
Responsibilities include: organizing and operating our central telephone service and visitor reception; coordinating incoming and outgoing mail including preliminary recording of incoming invoices; procuring and managing office and consumable supplies according to needs and internal processes; managing the company vehicle pool (ordering leased vehicles, coordinating inspections and tire changes, overseeing fleet insurance); coordinating consultation/meeting rooms (scheduling, organization, catering); administering our work equipment management with regard to maintenance and installation tasks; planning, scheduling and documenting business travel (for all employees); supporting the organization of internal events; coordinating cooperation with the canteen operator and aligning hospitality requests internally; supporting departments on matters related to workplace equipment and supplies; being flexible in day-to-day operations and taking on administrative tasks as needed.
Requirements
Completed commercial vocational training or an equivalent qualification
Practical experience in administration, office management and/or reception
Structured, reliable and service-oriented working style – also when handling multiple concurrent tasks
Friendly, professional communication (by phone, in writing and in person)
Confident user of MS Office 365 (Outlook, Word, Excel)
Very good German language skills and at least good English skills, both spoken and written.
