Executive Assistant managing schedules and administrative tasks for Cirque du Soleil's Talent team. Contributing to special projects and ensuring smooth operations within the division.
Responsibilities
Perform a variety of advanced administrative tasks independently;
Manage the calendars of the Chief Revenue Officer and Chief Talent Officer;
Organize and coordinate meeting logistics;
Arrange business travel, expense reports and all travel logistics for the Chiefs and certain division directors;
Draft communications, correspondence and various texts in French and English;
Prepare minutes for certain meetings held by the Chief Revenue Officer and Chief Talent Officer;
Prepare and monitor the Revenue and Talent budgets;
Coordinate logistics for special professional and social occasions (conferences, forums, events, galas, etc.) that the Chiefs are required to attend;
Provide administrative support to the Leadership team in the Talent and Revenue division;
Contribute to various Talent and Revenue projects and programs;
Coordinate the sending of invitations to different activities (employee premiers, celebrations, ...);
Coordinate distribution of Ovation gifts;
Liaise with the various departments and divisions across the Cirque.
Requirements
Experience working with senior leadership;
At least ten (10) years of relevant experience;
Excellent knowledge of the Microsoft Office suite;
Strong prioritization, organizational and teamwork skills;
Acute sense of diplomacy, high discretion, professional maturity and judgment;
Autonomy, rigor and tact;
High availability, punctuality and ability to work under pressure;
Excellent communication skills, particularly in drafting texts and preparing presentations;
Experience in event organization and/or management considered an asset;
Proven bilingualism (English and French, spoken and written).
