About the role

  • Executive Assistant providing high-level administrative support to Mamaway Wiidokdaadwin's Executive Director. Coordinating meetings, managing schedules, and assisting with project planning and execution.

Responsibilities

  • Provide high-level administrative support to the Executive Director of Mamaway Wiidokdaadwin and the other members of the Operations Team
  • Coordinate meetings, manage schedules, and assist with project planning, execution, and reporting
  • Ensure deadlines are met and communication flows effectively and in a timely manner
  • Play a key role in document management, supporting meeting functions
  • Foster collaboration and maintain professional relationships with internal and external stakeholders
  • Provide comprehensive administrative support to promote the efficient and proactive operations of the Mamaway Wiidokdaadwin health services
  • Maintain effective communication, coordination, and organization within the Operations Team and across the organization
  • Work virtually, in-person and in-community settings across the Simcoe County region with a base location in Orillia.

Requirements

  • Post-secondary education (degree or diploma) in a related field
  • Minimum three (3) years related experience in a not-for-profit or healthcare-related sector
  • Experience working with Indigenous organizations considered a strong asset
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously
  • Strong English communication skills, both written and verbal
  • Proficient in Microsoft 365 applications, including Teams, Word, Excel and PowerPoint
  • Understanding of cultural safety and trauma-informed care principles
  • Ability to work independently with minimal supervision, as well as collaboratively within a team environment
  • Flexibility to adapt to changing priorities and deadlines in a fast-paced work environment
  • Knowledge of Indigenous cultures, traditions, and life promotion is considered a strong asset
  • Works with a sense of urgency
  • Strong interpersonal skills including active listening skills.
