About the role

  • Talent Acquisition Assistant delivering recruitment services in São Paulo, supporting the hiring process and ensuring a quality experience for candidates and managers.

Responsibilities

  • Being the first point of contact for all recruitment-related queries for both employees and external candidates.
  • Completing regular audits and maintaining all job descriptions of all LATAM vacancies.
  • Creating job adverts, posting & removing job adverts from our careers site, LinkedIn and job boards.
  • Organizing candidates in the Application Tracking System (ATS) and ensuring the ATS is always up to date.
  • Scheduling all candidate interviews and managing the administration of interview feedback.
  • Coordinating candidate and hiring manager experience surveys, analyzing feedback and producing reports.
  • Working with the Talent Acquisition Specialist to ensure our vendor list is up to date.
  • Liaising with the P&C team to ensure offer letters and employment contracts are drafted, approved and sent to candidates and returned for P&C records.
  • Ensuring the P&C team are informed of all internal moves, new starters, visa requirements or relocation packages.
  • Support with reporting and analytics, e.g., recruitment spend, time to fill, offers stats etc.
  • Create process maps and implement process improvements where required.
  • Champion recruitment initiatives, systems, and centralized processes.
  • Acting as an ambassador and role model for our best practices globally.
  • Assists with various onboarding and Learning & Development tasks/scheduling.
  • Configure interview invitation templates within the ATS, adapting messaging, workflows, and scheduling options to reflect the specific dynamics and availability requirements of each recruitment process.

Requirements

  • Bachelor’s degree in Business Administration, Human Resources, Psychology, or related fields.
  • Some prior experience or a demonstrated interest in recruitment operations activities, recruitment administration, or complex diary and interview scheduling in a fast-paced environment.
  • Resilient, highly organised with excellent attention to detail and the ability to prioritise own workload.
  • Proactive, self-motivated and a completer-finisher.
  • Demonstrated ability to multi-task, & work effectively under pressure in a fast-paced environment.
  • Able to manage conflicting priorities whilst maintaining good attention to detail.
  • Excellent communication skills and motivated to provide proactive communications without prompting.
  • Fluent English at C1 level or above
  • **Desirable attributes:**
  • Proven work experience managing complex diaries across multiple time zones
  • Fluent Spanish would be would be a plus.
