Responsibilities
Provide calendar management, meeting coordination, and travel arrangements for senior executive leaders.
Prepare and organize meeting materials, including agendas, presentations, and minutes.
Handle confidential and sensitive information with the utmost discretion.
Support budget tracking, invoice processing, and expense reporting across departments.
Coordinate cross-functional projects and monitor progress on departmental initiatives.
Plan and execute team events, offsites, and internal meetings.
Work closely with the extended administrative team ensuring overall priority alignment, consistency, and best practices.
Help foster a “service minded team” environment and tone for elevated service, professionalism, and collaboration.
This role requires working Pacific Time Zone hours.
Requirements
5+ years of experience supporting multiple c-suite executives preferably at a tech startup.
Proven ability to thrive balancing hands-on execution with nuanced and dynamic responsibilities.
Exceptional organizational and time management skills working across multiple time zones.
Strong technology proficiency with Google Workspace, Asana, Zoom, Slack, and travel booking platforms.
Strong written and verbal communication skills.
High level of professionalism, discretion, and a proactive “no task too small” attitude.
Ability to manage multiple priorities with grace, efficiency, and attention to detail.
A positive and energetic teamplayer who thrives in a centralized and collaborative setting.
