About the role

  • Ensure the studio is clean, organised, and welcoming for staff and visitors
  • Greet and host guests and clients on-site
  • Manage office supplies, weekly food and beverage orders (vegetarian team lunches), and general procurement
  • Oversee studio maintenance and liaise with the building manager
  • Support with Health & Safety (Arbo) policies, ensure compliance and report issues
  • Coordinate internal meeting logistics and room bookings
  • Create and maintain an inspiring studio environment with appropriate supplies and thoughtful touches
  • Provide diary management and admin support for local directors
  • Assist with planning and execution of team socials, events, and seasonal celebrations
  • Act as key point of contact between the Rotterdam studio and global back office teams (HR, IT, Finance)
  • Support onboarding of new starters and foster a welcoming atmosphere
  • Be a first point of contact for everyday questions and organise small gestures of appreciation
  • Manage internal systems such as the ArboNed portal and keep internal documentation up to date
  • Support general admin tasks and ad-hoc projects as required

Requirements

  • Fluent Dutch (written and spoken)
  • Fluent English (written and spoken)
  • Based in or near Rotterdam with ability to work on-site at least 3 days per week
  • Previous experience in office coordination, studio management, or team support roles
  • Highly organised with great attention to detail
  • Friendly, approachable, and confident dealing with people at all levels
  • Comfortable with digital tools and systems; able to pick up new platforms quickly
  • Problem-solver with a can-do attitude and ability to manage multiple priorities
  • Strong interpersonal skills, empathy, and ability to listen/respond to people’s needs
  • Proactive, self-starter who takes initiative
  • Enjoy working in a creative environment and comfortable collaborating with designers
  • Vloeiend Nederlands (schriftelijk en mondeling)
  • Vloeiend Engels (schriftelijk en mondeling)
  • Je woont in (de buurt van) Rotterdam en kunt minstens 3 dagen per week in de studio werken
  • Ervaring in office management, coördinatie of teamondersteuning
