About the role

  • Operations Coordinator at Deciphex managing office logistics and employee onboarding in a fast-paced environment. Supporting team culture and efficiency while handling various administration tasks.

Responsibilities

  • Act as the main point of contact for all office related queries, liaise with facilities management and take a hands on approach in order to ensure smooth running of the office day to day.
  • Manage the incoming and outgoing post and local/ international deliveries.
  • Make general purchases for the company in line with the purchasing policy.
  • Coordination of regular meetings & events, company related travel and related logistics.
  • Support with expense reporting and related queries, working closely with the Finance & HR teams on travel and expense policy.
  • Supporting the onboarding of new employees to Deciphex including arranging new starter packs for shipment, coordinating merchandise deliveries etc.
  • Manage the main office phone line, responding to and redirecting incoming calls in a professional and timely manner.
  • Support employee engagement initiatives and company culture activities as required, working closely with HR.
  • Other general administration duties that may arise from time to time.

Requirements

  • Bachelor of business administration / related field desired OR a minimum of 3 years relevant experience in a fast paced office environment.
  • Minimum of 3 years experience working in a similar busy operations administration or coordinator role in an office environment.
  • Proficient with Google suite and strong Google Sheets experience (alternatively experience with Microsoft Office with the ability to adapt quickly to new software).
  • Excellent communication skills.
  • Diligent, hard-working and takes end to end ownership of tasks.
  • Excellent time management and organizational skills with the ability to multitask and prioritize independently.
  • Ability and willingness to work on own initiative and as part of a team.
  • Works well under pressure, especially within a strict deadline-orientated environment.
