About the role

  • Support end-to-end planning and delivery of QS Summits, coordinating logistics and timelines
  • Provide day-to-day support to the Director of Conferences and Branding, Strategic Engagement Manager, and events team
  • Coordinate event logistics, timelines, deliverables, and assist with delegate management including visa letter support
  • Work with Content, Marketing, and Sales on event agendas, speaker management, sponsor requirements, and promotions
  • Liaise with speakers and sponsors to collect information and manage communications
  • Contribute to venue and vendor research, assist negotiations, and manage third-party relationships
  • Support on-site event delivery including registration setup, briefing packs, and pre-event briefings for senior leadership
  • Monitor event-related risks and issues, escalate as necessary, and assist with contingency plans
  • Collect, organise, and review post-event feedback and data to support reporting and improvements
  • Stay informed about industry trends and suggest ideas to enhance event experiences
  • Perform any other duties within the scope of the role

Requirements

  • Bachelor's Degree in Hospitality, Event Management, Marketing or related discipline preferred
  • Related events experience, ideally supporting global conferences
  • Knowledge of complexity of handling multiple projects simultaneously
  • Strong time management skills and ability to collaborate across multiple time zones
  • Experience supporting event marketing efforts
  • Understanding of sponsorship and event revenue generation
  • Highly organised; ability to manage multiple planning documents, mailboxes, budgets and onsite volunteers
  • Strong written and oral communication skills
  • Flexible to take on more/different roles; proficient at managing multiple projects with tight timelines
  • Comfortable working in fast-paced environment and occasionally outside regular hours
  • Proficiency with Word, event database CRM, and knowledge of virtual events platforms
  • Experience liaising with speakers, sponsors, vendors and cross-functional teams
