About the role

  • Senior Payroll Tax and Accounting Specialist managing payroll tax compliance and financial reporting for ProDriven Global Brands. Overseeing multi-state and Canadian payroll accounting responsibilities in a hybrid work environment.

Responsibilities

  • Ensure timely and accurate filing of payroll taxes at the federal, state, local, Canadian, and Mexican levels, including quarterly and annual filings (Forms 941, W-2, W-3, 1099, T4, T4A, etc.).
  • Stay current with changes in payroll tax laws and regulations in the U.S. and Canada to ensure ongoing compliance.
  • Reconcile payroll tax withholdings and deposits to confirm accurate reporting and remittance.
  • Lead Quarter-End and Year-End activities for U.S. and Canadian payroll operations.
  • Balance and maintain all payroll-related GL accounts within UKG Pro after each payroll.
  • Set up and maintain new locations, departments, and account codes in UKG Pro.
  • Ensure payroll journals accurately reflect wage, tax, and benefit liabilities.
  • Reconcile payroll entries to the general ledger and coordinate with Finance to resolve discrepancies promptly.
  • Prepare and validate payroll accounting reports to ensure alignment with financial statements.
  • Ensure accurate reconciliation of Canadian payroll taxes in the general ledger.
  • Review and balance payroll entries related to tax withholdings, statutory deductions, and benefits in the Canadian GL.
  • Partner with the Finance team to troubleshoot and resolve discrepancies between payroll and the ledger.
  • Lead preparation of payroll tax and accounting reports for internal reviews, external audits, and regulatory filings.
  • Support annual audits such as workers’ compensation, 401(k), Employer Health Tax (EHT), and other payroll-related audits.
  • Investigate and resolve complex payroll tax discrepancies, including federal, state, local, and Canadian.
  • Analyze payroll and tax data to identify trends, discrepancies, and compliance risks.
  • Lead payroll tax system upgrades and process improvement initiatives, focusing on automation, accuracy, and compliance.

Requirements

  • 5 ~ 7 years of payroll tax and payroll accounting experience required including multi-state and Canadian payroll.
  • Strong Excel skills (Pivot Tables, VLOOKUPs, Business Intelligence, data validation, and analysis).
  • Strong understanding of payroll tax and accounting principles and general ledger reconciliation.
  • Experience leading quarter-end and year-end tax close activities.
  • Excellent attention to detail, analytical thinking, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Associate's degree in accounting, finance or related field preferred or equivalent work experience required.
