Responsibilities
Manage complex calendars for both Executives, coordinating across US and European time zones
Coordinate travel logistics including flights, accommodation and visas
Prepare meeting materials, agendas, and briefings
Act as a thoughtful gatekeeper, helping prioritise requests and managing competing demands on leadership time
Liaise with internal teams and external partners
Handle highly sensitive and confidential information with professionalism and discretion
Coordinate day-to-day operations and experience of our Berlin office
Welcome guests and ensure they feel well taken care of when visiting the office
Maintain organised and functional shared spaces including meeting rooms, kitchen, and common areas
Manage office supplies, pantry stocking, and general office needs
Coordinate with vendors including facilities, cleaning services, and deliveries
Help ensure the office remains a welcoming and well-run environment for the team
Requirements

Anticipates needs and solves problems before they escalate
Improves processes rather than simply following them
Communicates clearly and professionally across different stakeholders
Has strong emotional intelligence and good judgment in leadership environments
Is comfortable balancing executive coordination with hands-on operational tasks
Handles ambiguity well and keeps work moving forward without constant direction
Operates with discretion, maturity, and a high level of trust
Experience supporting Founders, CEOs, or other C-level executives
Experience in a startup or high-growth environment strongly preferred
Excellent written and verbal communication in English (German is a plus)
