About the role

  • Administrative Assistant at CIEE, supporting the management with administrative services and customer interactions. Involves billing tasks and maintaining communication channels for Accounts Receivable.

Responsibilities

  • Support immediate management on matters related to the department's processes and administrative services.
  • Send invoices and billing documents to companies to facilitate payment.
  • Record requests for discounts/credits, extensions, and cancellations in the billing system.
  • Adjust billing documents to meet the needs of companies and interns.
  • Keep the area's files, records and controls up to date and accessible to relevant stakeholders.
  • Assist in processing the receipt of receivables and re-invoicing, aiming for recognition and settlement of received items.
  • Prepare reports and spreadsheets.
  • Maintain the department's electronic communication channels up to date to ensure proper handling and routing of Accounts Receivable actions.

Requirements

  • Currently pursuing a bachelor's degree in Administration, Human Resources Management, or a related field.
  • Experience in internal and/or external customer service is required.
  • Must have 1 year of contract at CIEE; if promoted, must have at least 1 year since the last promotion.
  • Essential knowledge of G Suite, especially Google Sheets.
  • Must reside in the Greater São Paulo area or São Paulo city (Capital).
