About the role

  • Administrative Assistant supporting logistics and freight management operations for a global technology leader. Responsible for tasks involving communication with transport companies and process optimization.

Responsibilities

  • Operational Support: Assist with daily activities in the area, supporting analysts and ensuring correct system operation based on entered information (GFE).
  • Invoice Validation: Review and validate freight invoices, ensuring compliance with established criteria.
  • Issue Management: Monitor and follow up on payment-related issues, especially freight and claims, ensuring resolution within agreed deadlines (SLA).
  • Carrier Relations: Maintain direct contact with carriers for various treatments, schedule performance meetings, and present SLA results.
  • Meeting Coordination and Escalations: Coordinate meetings with carriers and route issues that fall outside SLA to the responsible areas (CRC).
  • Controls Update: Keep claims and delivery-exception controls up to date, contributing to the maintenance of the area’s KPIs.
  • Continuous Improvement: Identify opportunities to improve processes under your responsibility and propose solutions to increase efficiency.
  • Technical Knowledge: Be familiar with payment systems and related logistics processes.

Requirements

  • Bachelor's degree completed or in progress in Business Administration, Logistics, or related fields;
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint);
  • Strong verbal and written communication skills;
  • Organized, detail-oriented, and able to solve problems pragmatically;
  • Comfortable working in a team and adapting to different situations and demands.
