About the role

  • Executive Assistant managing schedules and strategic support in an E-Commerce startup. Organizing operations, meetings, and stakeholder communication in a hybrid work environment.

Responsibilities

  • Personal & Executive assistance.
  • Comprehensive scheduling, calendar and travel planning for the executive management.
  • Preparation, follow-up and coordination of meetings, including action-item tracking.
  • Structuring and prioritizing email communication.
  • Ensuring focus time and smooth alignment with stakeholders.
  • Office & organizational management.
  • Organizing and optimizing administrative workflows.
  • Managing documents, contracts and office processes.
  • Coordinating external service providers and ensuring a functional office setup.
  • Supporting and independently executing selected projects (e.g., admin, HR, organization).
  • Assisting with internal events, meetings and special tasks.
  • Supporting management on strategic topics.

Requirements

  • Several years of experience as a Personal Assistant / Executive Assistant, ideally in a startup or scale-up environment.
  • Structured, reliable working style with high quality standards.
  • Strong communication skills at all levels.
  • Proactivity & initiative — you anticipate what is needed.
  • Discretion & trustworthiness when handling sensitive information.
  • Analytical and strategic thinking.
  • Resilience & ability to multitask in a dynamic environment.
  • Digital affinity (tools, processes, automation).
  • Fluent German and very good English skills.
