About the role

  • Operations Coordinator for Tribe X Digital ensuring operational consistency in a fast-paced environment. Manage project data, reports, contracts, and cross-department follow-ups in a hybrid setup.

Responsibilities

  • Maintain accurate project data, budgets, CRM hygiene, and structured documentation across systems.
  • Implement workflow updates, publish SOPs, and ensure consistent naming and documentation standards.
  • Prepare and distribute weekly and monthly reports, validate data accuracy, and track follow-ups.
  • Monitor time tracking compliance, address discrepancies, and document/escalate repeated issues.
  • Draft and manage contracts using approved templates, track renewals, and maintain organized archives.
  • Coordinate operational meetings, cross-department follow-ups, and internal inquiries.
  • Track implementation of operational initiatives and manage recurring tasks to support leadership focus.
  • Handle travel coordination and related logistics.

Requirements

  • 1–2 years of experience in operations coordination, project coordination, or executive support.
  • Fluent English (written and spoken).
  • Strong organizational mindset with clear tracking habits.
  • High attention to detail and process discipline.
  • Confidence in following up and holding timelines.
  • Comfort working inside structured systems and tools.
  • Calm, solution-oriented approach when priorities shift.
  • Ability to operate independently after onboarding.
  • Experience in a digital marketing agency or service-based company (Nice to Have).
  • Familiarity with project management tools (ClickUp, Asana, Monday, etc.) (Nice to Have).
  • Strong Excel or Google Sheets capability (Nice to Have).
  • CRM experience (Nice to Have).
