About the role

  • Workflow Manager coordinating work across strategy, creative and craft design teams at M+C Saatchi Group. Ensuring effective scheduling and movement of work while maintaining team wellbeing.

Responsibilities

  • Maintain a clear, real-time view of team capacity across Strategy, Creative and Craft Design using Smartsheet and Resource Management
  • You will allocate work based on capacity, skillsets and project priority, in consultation with department leads and the Creative Operations Director
  • Maintain and update the agency workflow schedule, ensuring milestones and dependencies are clearly tracked
  • Run weekly workflow WIPs and daily stand-ups where required to keep schedules accurate and identify risks early
  • Review project timelines provided by project or account leads and validate against current resource availability. Identify upcoming capacity gaps or peak periods and escalate potential freelance needs
  • You will ensure all briefs, finance approvals, and hours are locked in before work begins.
  • Monitor progress across active projects and proactively flag risks to timelines or resourcing
  • Work closely with creative, strategy and project leads to prioritise competing workstreams
  • Support the smooth handover between teams across different stages of the creative process and oversee final project archiving

Requirements

  • 2–4 years experience in traffic, workflow, resourcing or project coordination within a creative, design or advertising environment
  • Experience supporting multiple creative disciplines such as strategy, design, social, PR or campaign delivery
  • Familiarity with resource management or project management systems (experience with Smartsheet or Resource Manager is highly desirable)
  • Strong organisational and scheduling skills with excellent attention to detail
