About the role

  • Design, develop, plan and execute client business development events aligned with the firm’s strategic direction
  • Provide the firm with a one-stop solution for event planning by performing the following tasks: liaise with stakeholders, leadership and vendors
  • Negotiate agreements
  • Select venues or platforms for virtual events (e.g., Zoom, WebEx, Teams)
  • Manage budgets and projects related to event organization
  • Establish deadlines and project timelines
  • Manage equipment needs, invitations, RSVPs, on-site staffing, AV requirements, vendor relationships, registrations, catering, gifts and entertainment activities
  • Provide high-level strategic guidance on event planning (host and content) including topic selection, locations, technology, pacing, targeting, communication plans, date selection, trends, formats and presentations
  • Work closely with lawyers, legal assistants and Clients & Markets team stakeholders to develop appropriately targeted guest lists that include existing and prospective clients
  • Draft and maintain detailed, comprehensive event briefs to assess the relevance of each program; compile all details and ensure flawless execution
  • Produce detailed, comprehensive event reports (pre- and post-event), including budget tracking, attendance monitoring, and assessments of successes and opportunities
  • Make recommendations for future events: analyze return on investment, schedule debrief meetings with responsible lawyers to discuss best practices and lessons learned, and advise on how to leverage events for business development
  • Provide regular event updates to stakeholders and professionals in the firm’s Clients & Markets group, and provide updates to the communications team for the intranet and the firm’s external website with details of upcoming events
  • Manage live event campaigns in Salesforce
  • Collaborate closely with lawyers, internal service teams and the firm’s marketing professionals
  • Contribute to Clients & Markets team initiatives and special projects, as required
  • Contribute to national events team special projects, as required
  • Contribute to the planning and execution of conferences, continuing professional development seminars and special client events in-person, virtual or hybrid
  • Support national events with a focus on the Ontario region

Requirements

  • Four years of end-to-end event planning experience in corporate, hotel or non-profit environments
  • Bilingual (French and English) required
  • Professional certification an asset (CMP, DES, VEMM, PMP)
  • Experience with virtual event platforms an asset
  • Experience in a law firm or professional services firm an asset
  • Strong organizational skills and the ability to manage multiple projects simultaneously
  • Professional maturity and the ability to take an approach that aligns with business objectives
  • Ability to build strong professional relationships
  • High level of initiative, strong attention to detail and excellent follow-up skills
  • Excellent client service and creative vision to deliver an outstanding experience
  • Availability to work overtime during peak periods and to work regularly outside normal business hours
  • Ability to work on-site
  • Experience with Salesforce or another customer relationship management (CRM) software
