Responsibilities
Assist in analyzing and updating event briefings, contributing ideas and suggestions.
Research, obtain quotes, and negotiate services/materials for events with vendors.
Qualify and prepare commercial proposals for group and/or event negotiations.
Adhere to the pricing policy and fee structure established by management for each client.
Ensure all confirmations have signed contracts to legally protect the agency and its clients.
Oversee event execution from internal preparation through on-site operations.
Share the work order (OS) with the team lead, operational and commercial management, and the executive team.
Carefully review event closeout documentation, ensuring compliance with each client's administrative requirements.
Register events in the system, following established operational and financial processes.
Maintain required communication with leadership and operational and commercial management.
Follow up on negotiations and consistently meet required deadlines.
Keep the workspace organized.
Provide direct support to supervisors and senior staff and help develop junior team members and assistants.
