About the role

  • Responsible for the day-to-day management and development of the Coordination and Shared Services Team
  • Provide administrative and operational support to immigration caseworkers and consultants
  • Work closely with the Manager to ensure daily operations run smoothly
  • Ensure that resources are optimally allocated and service delivery meets firm-wide standards
  • Identify and implement simple, effective, and low-cost operational solutions
  • Collaborate with the global team to align support processes
  • Foster a culture of practicality, accountability, and continuous improvement
  • Lead and develop Coordinators, ensuring consistent service quality and professional growth
  • Oversee daily operations, workload distribution, and capacity management within the team
  • Manage administrative processes including onboarding, offboarding, and Workday updates
  • Monitor operational performance and ensure compliance with internal procedures and quality standards
  • Act as the main escalation point for process and workflow-related queries
  • Partner with internal stakeholders to roll out new service areas
  • Produce and review team metrics and reports to track performance and identify improvement areas
  • Promote a culture of collaboration, accountability, and continuous learning.

Requirements

  • Polish Inbound immigration experience
  • Polish Subject Matter Expert on corporate immigration matters
  • Proactive and highly organised with a strong client-facing background
  • People management experience
  • Experience managing a varied portfolio of clients
  • Strong background in process management and operational efficiencies
  • Ability to manage a high case load as per business need
  • Strong attention to detail and a high level of productivity
  • Ability to multitask in a fast-paced environment with competing demands
  • Ability to meet the assigned deadlines and communicate progress to the Manager
  • Flexibility and initiative in your approach
  • Ability to develop strong working relationships with team members
  • Excellent written and verbal communication skills
  • Good organisation skills with the ability to plan, prioritise, meet deadlines and manage multiple projects
