About the role

  • Administrative Assistant supporting Texcan Edmonton Sales team operations and managing various office responsibilities. Ideal for detail-oriented individuals with strong organizational skills.

Responsibilities

  • Answering phones
  • Filing
  • Incoming/outgoing mail
  • Accounts receivable
  • Ordering office supplies and office equipment maintenance (call contractor)
  • Assisting with payroll back-up
  • Credits
  • Debits
  • Freight claims
  • Processing reel returns/ maintenance
  • Responding to customer service and customer complaints
  • Preparing outgoing mail and correspondence including e-mail and fax
  • Creating reports using Excel
  • Preparing expense reports
  • Organizing conferences/meetings (catering, booking rooms)
  • Preparing promotional packages
  • Assisting with inventory control for promotional incentives
  • Liaising with customers/clients
  • Maintaining printer/photocopier toner cartridges inventory
  • Respond to requests to pull paperwork: Invoices, receiving reports, Etc.
  • Processing cash sales/customer payments
  • Obtaining freight rates
  • Back-up invoicing & exception follow up

Requirements

  • One to three (1-3) years administration experience in a busy office environment.
  • High School Diploma required.
  • Preferably post-secondary education in Administration or Business Management.
  • Must be proficient with MS Office (Excel, Outlook, Word, PowerPoint).
  • Self-motivated with strong administrative and analytical skills.
  • Exceptional organizations skills with the ability to effectively multitask.
  • Effectively prioritizing tasks.
  • Optimizing time effectively.
  • Pays attention to detail with high level of accuracy.
  • Ability to work with a team and independently.
  • Professional phone and email etiquette.
  • Strong verbal and written communication skills.
  • Willingness to learn new initiatives that support the department.
