Provide high level secretarial assistance and administrative support to the Director – Administrating the Director’s diary commitments, including the co-ordination of appointments and the organization of meetings which are often complex
Receiving and allocating the Director’s incoming mail, advising on and tracking responses, dealing with routine matters arising from these matters on behalf of the Director.
Play an important role in assisting the Director in the punctual delivery of communications to staff and stakeholder, troubleshoot and high-level co-ordination
Manage CME and travel funding requirements for the Director
Manage travel arrangements, diary and folder for the Director
Manage/co-ordinate emails
Liaise with the other senior staff to facilitate appropriate responses to urgent queries in the absence of the Director
Office space Management
Manage meetings, including preparation of agenda, meeting papers and liaison with meeting attendees.
Respond to telephone and personal inquiries from the public, other health service executives and all members of staff
Screening telephone calls and connect/redirect to appropriate staff member where possible
Model a culture of empathy and service excellence at all times
Continually manage and prioritize tasks to ensure optimal functioning of the unit and that all deadlines are met

Requirements
A degree/diploma in a relevant area OR an equivalent combination of experience and training
Experience in senior administration roles
